Staff Accountant

The staff accountant will provide efficient, proactive, day-to-day support to the foundation. This role will primarily support the accounting and finance area of the foundation and will enforce foundation accounting policies, procedures, and internal controls. The staff accountant will identify efficiencies and eliminate backlogs, embrace new technology, and respond proactively within the department and to other department needs. This exempt position has a primary appointment reporting directly to the accounting manager.

KEY RESPONSIBILITIES

Accounting & Finance duties will include, but not be limited to, the following:

Accounts Payable

  • Handle all vendor correspondence and vendor set-up
  • Monitor AP inbox. Review invoices for coding accuracy and enter information into accounting system, obtain approvals and signatures, mail checks and/or process ACH payments with necessary notifications, and digitize supporting documentation

Expense Management

  • Administer Concur. Ensure coding in Concur matches Intacct and Giving Data. Set up new user access and provide training to new hires. Work with Concur service team to troubleshoot issues as needed. Keep up to date on new functionality
  • Review coding and documentation in Concur. Follow up with employees as needed. Respond to employee questions
  • Reconcile accounting reports including credit card receipts to monthly statements
  • Review weekly Concur feed on Fridays (prior to feed). Reconcile Concur to accounting system

Period-End (Month-End, Quarter-End, & Year-End) Close

  • Draft period-end closing journal entries
  • Generate bank reconciliations and upload supporting bank statements into system
  • Perform monthly reconciliations, including reconciliation of accounting system and grants management system, prepaid schedules, and depreciation schedules
  • Create and maintain electronic and hard copy accounting files, including the preparation of reports
  • Setup new prepaids and/or fixed assets in accounting system, as needed, monthly

Other

  • Assist in preparation of wire transfers, ACH transactions, grants payments, employee reimbursements, and bank deposits
  • Assist in the preparation of Information Return Reporting as required by the IRS (1099-MISC & 1042-S/1042Filings)
  • Assist in annual audit and tax preparation
  • Perform other ad hoc duties as required to support the Accounting & Finance Area

QUALIFICATIONS

    • Bachelor’s degree (accounting or finance, preferred)
    • 3-5 years of experience in accounting with strong understanding of systems
    • Excellent organizational, written, oral, and communication skills
    • Experience with general ledger software, and other third-party software platforms. Sage Intacct experience preferred but not required
    • Excellent computer skills to include MS Office Suite especially MS Excel
    • Systems savvy with knowledge of workflows and systems integration
    • Eagerness to develop skillset and knowledge of the industry through continuing education such as webinars, conferences, and trainings related to current systems and industry events
    • Ability to plan and prioritize workflow and meet deadlines
    • Exceptionally self-motivated and directed. Ability to work independently and reliably, take initiative, and proactively solve problems
    • Excellent attention to detail, accuracy, and follow-through
    • Ability to work closely with those inside and outside the foundation
    • Flexibility and willingness to help others to increase productivity as a team
    • Ability to multi-task in a fast-paced environment
    • Perform other duties as required
